Job Description

On behalf of our client, a prominent Victorian transport organisation based in the Melbourne CBD, we are seeking an experienced Purchasing Administration Officer for a 3-month contract. This is a hands-on, operational role providing critical compliance oversight, purchase order (PO) management, and supplier administration.

Job Responsibility

  • Vet, verify, and process POs against valid contracts, quotes, certificates of insurance (COI), spend delegations, and procurement policies before approval
  • perform high-volume transactional activities and maintain accurate records in ERP and procurement systems (Zycus and JDE)
  • manage supplier onboarding and insurance verification
  • provide day-to-day support, system guidance, and issue resolution to internal requisitioners and diverse business stakeholders
  • identify, report, and escalate non-compliant transactions
  • contribute to continuous improvement initiatives to reduce recurring issues and strengthen controls

Requirements

  • Non-entry-level experience in compliance-driven procurement, finance, administration, or corporate services roles
  • must be highly competent in managing PO workflows
  • confident using Microsoft Office (with Intermediate Excel proficiency)
  • strong familiarity with ERP or procurement systems (Zycus and JDE are highly preferred)
  • high attention to detail
  • exceptional communication/stakeholder engagement capability
  • highly organized
  • proactive
  • adaptable to change
  • public sector procurement experience and knowledge of VGPB / Buying for Victoria guidelines (desirable)
