Job Description

We’re looking for a detail-oriented and highly organised Purchase Ledger Controller to join our Accounts Payable team. You’ll play a vital role in ensuring all supplier invoices are processed accurately and paid on time, helping maintain strong supplier relationships and supporting the smooth running of our finance operations. Working closely with the Accounts Payable Manager and wider team, you’ll be responsible for maintaining an accurate purchase ledger, resolving queries efficiently, and ensuring compliance with internal processes and HMRC regulations.

Job Responsibility

  • Ensure all invoices are authorised, coded, and processed accurately in line with company procedures
  • Match invoices to purchase orders and resolve any discrepancies
  • Process invoices using systems such as Readsoft and ensure timely scanning and posting
  • Apply correct VAT treatment to maintain compliance with HMRC rules
  • Reconcile supplier statements regularly and resolve outstanding queries
  • Manage payment runs and manual payments in accordance with company procedures
  • Post cash book entries where required
  • Maintain accurate general ledger coding to support financial reporting
  • Set up new suppliers in line with company policies
  • Build and maintain strong relationships with suppliers and internal stakeholders
  • Support continuous improvement within the Accounts Payable function

Requirements

  • 1–2 years’ experience in a purchase ledger or accounts payable role
  • Strong data entry skills with excellent accuracy and attention to detail
  • Understanding of profit & loss accounts
  • Basic VAT knowledge (preferred but not essential)
  • Good working knowledge of MS Excel, Word, and Outlook
  • Experience working to deadlines within a finance timetable

  • Invoice Management Preparing and processing high volumes of invoices across multi databases
  • Verifying, processing and recording invoices to ensure they match purchase orders and receipts preventing duplicate or unauthorised payments
  • Payment Processing Schedule weekly payments, ensuring that all financial obligations are met on time to maintain vendor trust and credibility
  • Manage bank balances and accounts - ensuring sufficient currency in each account for payment runs, daily cash receipt management
  • Assist in weekly cashflow forecasting
  • Monitor AP aging and resolve discrepancies to ensure timely payments and avoid late fees
  • Maintain positive relationships with vendors and respond to enquiries professionally, resolving invoices discrepancies, payment issues, vendor disputes in a timely manner
  • Request and review monthly statement of accounts for all vendors
  • Support purchase order approvals and compliance with authorization thresholds
  • Management of the accounts inbox
