Job Description

The Proposals Support Specialist supports the Proposals team by providing flexible, execution-focused assistance during high-volume periods, tight deadlines, and large or complex proposal efforts. This role is responsible for proposal intake, coordination support, formatting, content assembly, and compliance tracking to ensure timely, accurate, and high-quality submissions. The Proposals Support Specialist works closely with Proposals Managers and Senior Proposals Managers to maintain process consistency, support quality standards, and help scale proposal operations in alignment with company growth and branding initiatives.

Job Responsibility

  • Provide surge support during end-of-quarter or high-volume proposal cycles
  • Support assigned Proposal Managers across multiple RFP, RFQ, and RFI efforts by assisting with coordination, scheduling, and task tracking
  • Support proposal intake activities by setting up proposal folders and file structures, creating Slack channels or collaboration spaces, scheduling initial intake and kickoff calls, and completing required intake forms or tracking documents
  • Capture and organize key opportunity details (deadlines, submission requirements, evaluation criteria, and stakeholder information) and ensure they are documented and shared with the assigned Proposal Manager
  • Prepare proposal outlines, compliance matrices, and submission checklists to support the assigned Proposal Manager throughout the response lifecycle
  • Assemble draft proposal responses by pulling approved content from the proposal library and tailoring content under the direction of the assigned Proposal Manager
  • Format proposal documents to ensure alignment with approved templates, branding standards, and customer submission requirements
  • Support proofreading and quality checks to help ensure proposals are accurate, complete, and professionally presented
  • Assist assigned Proposal Managers with document organization and final submission preparation
  • Serve as a support resource for internal questions related to proposal documentation, intake processes, and tools

Requirements

  • 1+ years of experience supporting proposals, bids, or similar structured deliverables
  • Working knowledge of RFP, RFQ, and RFI processes
  • Strong proficiency with Microsoft Word and document formatting
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple tasks and deadlines simultaneously

Nice to have

Bachelor’s degree or equivalent experience in a related field preferred
