Job Description

The Proposals Assistant has established Proposals to perform a range of day-to-day activities. The Proposals Assistant can recognize and solve typical Commercial problems with limited supervisory approval. They are tasked with evaluating and selecting solutions from established options. Their work directly impacts their team through the quality of the services or information provided.

Job Responsibility

  • Prepare a summary of Tender Documentation in terms of bid structure and bid submission formal requirements
  • Outline bid responsibility matrix
  • Prepare/customize/adapt bid templates and embed bid specifics there
  • Maintain proper bid templates, set up styles/headings / customized numbering, and instruct functions on use
  • Maintain the write-ups database and insert selected write-ups / go-by documents in the draft of the bid
  • Embed the inputs from functions into bid and maintain updated bid versions
  • Combine and export parts of the bid in correct formats with bookmarks/section pages and issue the final bid version as ready for submission status
  • Export and format data from Project Experience Database
  • Archive bid documents in i-docs
  • Keep all administrative work up-to-date and complete and keep all information current
  • Work with other personnel in other offices on various issues
  • Interface with the functions including but not limited to: Proposal Specialist assigned to the project, Bid PM, Engineering, Procurement, Subcontracts, QHSE

Requirements

  • High School Diploma required
  • 2-3 years of relevant experience in the Oil and Gas & Energy industry
  • Thorough knowledge of MS Office
  • Commercial / Proposal awareness
  • Communication skills
