Job Description:

Aqua Metro is seeking a detail-oriented Proposals Administrator to lead our tender and proposal process from start to finish. This is your opportunity to play a pivotal role in securing major projects by crafting compelling, compliant submissions that showcase our competitive edge. As our Proposals Administrator, you'll manage the complete proposal lifecycle—co-ordinating bid teams, interpreting RFPs, and producing high-quality tender responses that align with client requirements and our company values. You'll be the central point of contact, working across Engineering, Estimating, Operations, and People & Culture to gather content, develop winning narratives, and ensure every submission is delivered on time and to the highest standard.

Job Responsibility:

  • Write, edit, design and format tender responses with clarity and consistency
  • Create compelling graphics using InDesign and Canva
  • Collaborate with subject matter experts and technical teams to develop accurate, tailored content
  • Maintain and manage our central library of templates, case studies, and supporting documentation
  • Develop storyboards, win themes, and bid strategies
  • Review tender documentation (RFIs, RFPs, EOIs) to identify key requirements and deliverables
  • Collate supporting documents including insurance certificates, procedures, ISO certifications, and safety documentation
  • Ensure all submissions meet quality, technical, legal, and compliance standards

Requirements:

  • Bachelor's degree in Graphic Design, Communications, Engineering or equivalent experience
  • 1-2 years' experience in proposals, tendering, or similar role (industry experience preferred)
  • Advanced Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook)
  • Graphic design skills using Canva and/or Adobe Suite
  • Exceptional attention to detail with strong editing and formatting capabilities
  • Proven ability to manage multiple deadlines in a fast-paced environment
  • Excellent written and verbal communication skills
  • Ability to work autonomously while being a collaborative team player
  • Demonstrated discretion when handling sensitive and confidential information
