Job Description:

The Proposal Specialist plays a key role in Southland’s business development efforts by leading the creation, coordination, and delivery of high-quality prequalification and bid proposal packages. This role requires a balance of creativity, organization, and collaboration—working closely with project teams, marketing, and leadership to develop winning submissions that reflect Southland’s capabilities and expertise.

Job Responsibility:

  • Develop and manage prequalification and bid proposal packages, ensuring timely and compliant submissions
  • Establish and maintain organized file structures for project-specific RFQs and proposal materials
  • Coordinate and manage all aspects of client-generated RFQs, internal responses, and final deliverables
  • Prepare proposal components, including scopes of work, resumes, project experience lists, org charts, and supporting materials
  • Collaborate with internal teams to define deliverable timelines, submission requirements, and responsibilities
  • Design and support PowerPoint presentations for business development and client meetings
  • Partner with Marketing to standardize templates, tools, and procedures that ensure consistency and compliance with Southland brand standards
  • Maintain project data and collateral, including information for press releases, project profiles, and case studies for print and web use
  • Coordinate with Marketing on media opportunities, trade show schedules, and content updates

Requirements:

  • Bachelor’s degree in English, Marketing, Communications, or a related field — or equivalent work experience
  • Minimum 1-3 years of experience in proposal writing, editing, or technical documentation within a professional services environment
  • Proficiency in Adobe InDesign required
  • Excellent writing, editing, and proofreading skills with strong attention to detail
  • Proven ability to multi-task, prioritize, and meet deadlines in a fast-paced environment
  • Strong collaboration and customer service orientation
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Visio)

Nice to have:

  • Project management experience preferred
  • Experience with Adobe Creative Suite strongly preferred
  • Experience using Unanet, Asana, or other project management tools is a plus
