Marmon Mok is looking for a Proposal Specialist who loves crafting compelling stories, showcasing talent, and making every submission stand out. You’ll be at the heart of our RFQs, SOQs, and marketing materials, helping the firm leave a strong impression on every opportunity. In this role, you’ll collaborate closely with our Marketing Director, Graphic Director and senior leadership to create high-quality marketing content, coordinate engaging responses, and elevate the firm’s brand across all platforms.
Job Responsibility:
Prepare and manage RFQ responses for prime and teamed opportunities, verifying that all minimum requirements are met
Lead team kick-off meetings, develop proposal outlines, capture technical information from subject matter experts while ensuring deadlines are met
Write, proofread, and edit cohesive proposal content without relying on AI
Collaborate with business development and technical leads to address client priorities and highlight firm differentiators in all materials
Support proposal submission logistics, including printing, production, and electronic submission when required
Complete all necessary proposal close-out activities, including filing, updates to marketing collateral, and maintaining proposal templates or boilerplate content
Support interview efforts as needed
Track and maintain information related to opportunities, clients, proposals and project using internal systems and tools
Assist with updating CRM with opportunities, client contacts and project information
Attend pre-proposal meetings as requested
Monitor industry resources for potential project opportunities
Maintain firm branding standards on all materials and communications
Develop relationships in the industry to help promote the firm
Other duties required to support the Marketing Department
Requirements:
Bachelor’s Degree in English, Marketing, Business, Liberal Arts, Journalism or Communications preferred
Minimum 3 years in architecture/engineering/construction industry
Proficiency in a wide range of software, including office productivity and design tools (e.g., Microsoft Office, Adobe Creative Suite – specifically InDesign and PowerPoint)
Experience using a CRM database preferred
Excellent organizational skills and the ability to handle multiple tasks simultaneously
Ability to meet strict deadlines and manage time effectively
Ability to work independently
Must be detail oriented
Excellent written and oral communication skills without relying on AI
