Job Description

We’re looking for a detail-oriented Proposal Coordinator to join our Grants & Proposals team. This role will play a critical part in supporting the sales and business development process by supporting RFP responses, maintaining content libraries, and coordinating proposal deliverables.

Job Responsibility

  • Conduct daily RFX research, including identifying relevant federal, state, and local opportunities
  • Create and maintain a Master Grant Funding Spreadsheet with recurring DHS, DOJ, DOT, and DOD opportunities
  • Perform additional research on relevant agencies, associations, and opportunities
  • Manage government procurement portal registrations
  • Maintain and update the proposal content library with new narrative resources
  • Create and update team resumes, feature lists, and proposal-ready resources
  • Support the development of visual proposal assets such as project org charts, Gantt charts, infographics, and screenshots
  • Assist the sales team with proposal editing and formatting using established templates
  • Prepare and complete standardized vendor forms for new vendor set-up or renewals
  • Develop and organize RFP response materials
  • Coordinate proposal-related administrative tasks
  • Track proposal deadlines and ensure on-time submissions
  • Ensure all proposal content is professionally formatted, accurate, and compliant

Requirements

  • Bachelor’s degree in Business, Communications, English, or related field, or equivalent experience
  • 1–3 years of experience in proposal coordination, business development support, or grants management preferred
  • Strong organizational and project management skills with the ability to manage multiple deadlines
  • Excellent written communication skills and attention to detail
  • Proficiency with Microsoft Office Suite
  • Ability to collaborate across departments and thrive in a fast-paced startup environment

Nice to have

Experience with tools such as Monday.com, Keeper, and government procurement portals
