Job Description:

The Proposal Coordinator is the backbone of design and processes for Brinkman Construction’s pursuits team. This role ensures every submission is visually cohesive, complete, and on-brand, and that the visuals align with the project’s pursuit. They own the proposal layout, production schedule, and responsibility matrix, turning strategy into polished deliverables that reflect Brinkman Construction’s standard of quality and precision.

Job Responsibility:

  • Manage 3–5 concurrent pursuits, coordinating timelines and deliverables
  • Collaborate with proposal specialists and pursuit stakeholders to align on requirements and deadlines
  • Design and format proposal documents using Adobe InDesign, including layouts and narrative content
  • Prepare final proposal packages for digital and/or print delivery
  • Maintain and update pursuit content libraries (boilerplate text, resumes, project profiles, and reporting)
  • Organize and manage digital assets for efficient retrieval and use
  • Uses approved AI tools (agentic and chat alike) for outlining, formatting, and data cleanup, with verification before release, ensuring accuracy and compliance
  • Verify all content for brand voice, quality standards, and compliance prior to release

Requirements:

  • Bachelor’s degree in marketing, communications, business, graphic design, or related field
  • a combination of education and/or direct experience will be considered
  • 1–5+ years of experience in proposal coordination, or equivalent experience in marketing and graphic design (AEC industry strongly preferred)
  • Strong proficiency in Adobe InDesign
  • experience with Photoshop, Lightroom, and Illustrator is a plus
  • Demonstrated ability to produce visually engaging, well-structured proposal layouts under tight deadlines
  • Highly organized with the ability to manage multiple concurrent pursuits and shifting priorities
  • Strong attention to detail, file structure, and version control
  • comfortable proofreading and formatting
  • Proficiency in Microsoft Word, PowerPoint, SharePoint, and Office 365
  • familiarity with DAM/CRM systems
  • Collaborative communicator who partners effectively with marketing and pursuit teams
  • Reliable, resourceful, and proactive—raises risks early, seeks clarity, and delivers consistently high-quality work
