Job Description:

The Intelligence & Security Sector (I&S) is seeking a Proposal Coordinator II. This position administers and coordinates writing, research, design, development, and revision of proposals under direction of the Proposal Manager (typically $100-300M). The Proposal Coordinator II typically works on moderately complex proposals with multiple volumes and standard production requirements. These proposals have a mid-range value and are of strategic importance to I&S.

Job Responsibility:

  • Administers and coordinates writing, research, design, development, and revision of proposals under direction of the Proposal Manager
  • Edits and manages production of proposals by coordinating the work of several areas to ensure that proposal development is on track and on time
  • Specific duties include copy editing and proofreading for accuracy, consistency, and conformity to style
  • Understanding and following RFP requirements
  • Coordinating writing schedules, format, recordkeeping, reproduction, and delivery of proposals
  • Responsible for organizing proposal team activities such as arrival of team members, daily status calls, color review teams, and catering
  • Trains new proposal team members on proposal tools such as web-based collaborative tools
  • Ensures they can use all proposal resources needed for proposal development
  • Analyzes RFP requirements and develops or verifies RFP/Proposal compliance matrix
  • Develops format guidance and templates for proposals, in concert with Proposal Manager and RFP guidelines
  • Performs desktop publishing tasks such as reformatting proposal documents to ensure proper proposal styles, fonts, and graphics are being used
  • Coordinates final production to RFP specifications and assists in administration and operation of web-based collaborative tools for proposal development
  • May provide guidance and work leadership to less experienced Proposals Coordinators
  • Participates in special projects as required

Requirements:

  • Candidates must be able to work with staff at all levels of the company
  • Manage multiple tasks simultaneously and efficiently
  • Understanding of Shipley or similar proposal development process
  • Ability to maintain calmness and organization under pressure, while maintaining exceptional customer focus and attention to detail
  • Advanced MS 365 Skills (Word required, Excel and PowerPoint desired)
  • Advanced use of Microsoft SharePoint
  • Familiarity with Generative Artificial Intelligence (GenAI) tools and concepts
  • Excellent oral and written communication skills
  • Minimum of 3 years experience
