Job Description

You will the entire bouquet of Property Management Services provided at the site. Your role will be to ensure smooth operations at the facility/site by enhancing efficiency using innovation and technology.

Job Responsibility

  • Ensure smooth operations at the facility/site by enhancing efficiency using innovation and technology
  • Ensure manpower at the site is enabled to face challenges by guiding, grooming, developing and supporting them
  • Formulate suitable budgeting controls and Monitor SLA’s & KPI’s for JLL and outsourced agencies
  • Maintain service level agreements and keep performance indicator scores above excellence
  • Ensure timely renewal of the agreement, submission of invoices and follow-ups for the payments
  • Oversee all vendor quotations and invoices
  • Ensure proper signoffs for attendance and all the required details for cost sheet submission
  • Ensure timely submission of client approved cost sheet to JLL office and follow up for the invoice
  • Ensure accuracy of billing information
  • Manpower planning for the site
  • Conduct daily site rounds to ensure proper maintenance of all structures/ building facilities and services are carried out
  • Ensure proper teamwork for all the facilities
  • Assist client SPOC in creating the annual budget for site operations and formulating strategies for effective management
  • Review and ensure data (hard and soft copy)/ e-mails/ client files are updated
  • Deal with occupants’ queries in verbal/ written form
  • Ensure robust complaint management process is in place and is followed meticulously
  • Communicate and circulate information to occupants’ authorities on operational complications
  • Ensure health and life safety regulations/ manuals are adhered on site
  • Ensure all risk assessment recommendations are implemented and enforced for compliances
  • Create business continuity plans
  • Resolve emergency maintenance matters with urgency
  • Maintain exemplary relationship management with projects, consultants, contractors, govt. authorities, statutory agencies
  • Create and submit the daily management report (DMR) and the monthly management report (MMR) and review with client
  • Coordinate and maintain the as-built drawing and transition document library
  • Work closely with the regional RO / SME/ Training teams and ensure closures of all required reports
  • Facilitate the services under the Slogan “No Safety No Work”
  • Provide handover support on behalf of the developer’s team
  • Oversee the implementation of fit-out guidelines
  • Formulate and implement a comprehensive building code of conduct
  • Manage the systematic allocation of parking spaces
  • Serve as the primary intermediary between the developer and unit owners throughout the HOTO process

Requirements

  • Degree/Diploma in Electrical/Mechanical/Civil/Marine Engineering OR equivalent
  • Minimum 10 years of work experience in Facility Industry/Real Estate/Hotel or Construction Industry
  • Being Analytical and Meticulous
  • Understanding and managing people dynamics
  • Keen eye for detail
  • Excellent problem-solving skills
