We are looking for a detail-oriented Property Associate to join our team in East Rutherford, New Jersey. This is a contract position with the potential to transition into a permanent role. In this role, you will provide essential administrative support to property management operations while ensuring high-quality service to tenants, vendors, and contractors. Free onsite parking is available, and the position involves working closely with property managers in a dynamic environment.
Job Responsibility:
Offer direct administrative assistance to property managers, ensuring smooth daily operations
Monitor and manage Certificates of Insurance for tenants and contractors, maintaining compliance
Organize and maintain property documentation, including leases, legal correspondence, service agreements, and financial reports
Prepare and manage express mail packages, office supplies, and mailing needs efficiently
Support budget preparation activities for properties, collaborating with team members
Process accounts payable by entering invoices, coding them, and securing payment approvals
Manage accounts receivable tasks, including printing aged delinquency reports and sending tenant notices
Coordinate tenant move-ins and move-outs, ensuring all necessary documents and authorizations are in place
Draft tenant memos, correspondence, and update the Tenant Handbook as required
Deliver exceptional customer service to tenants, clients, contractors, and vendors
Requirements:
Associate or Bachelor’s degree preferred
equivalent education and experience will be considered
Minimum of one year of experience in administrative support or property management is desirable
Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
Ability to adapt to new software applications and tools as needed
Excellent organizational and multitasking skills to handle a high volume of tasks and clients
Familiarity with accounts payable and receivable processes is a plus
Flexibility to work beyond standard hours when required
Exceptional communication skills to interact effectively with diverse stakeholders
