Our client, a global commercial real estate services firm located in East Rutherford, NJ is looking for a Temporary to Permanent Property Associate to join their team. This position will start on/around May 8 – September 4, 2026 as a temp with potential to extend/convert. Role is in office schedule between the hours of Monday-Friday, 8am – 5pm. Compensation is $28-33/hour, 60-70k upon conversion.
Job Responsibility:
Participate in accounts payable (A/P) processing by reviewing and coding invoices for payment
Track administrative expenses to ensure they remain within budget and identify cost-reduction opportunities
Coordinate document management related to lease execution, distribution, and filing
Track lease notification requirements to ensure deadlines are met and notifications are properly distributed
Monitor email, phones, and work order systems to provide prompt, courteous responses and direct inquiries appropriately
Maintain general office organization
Sort, organize, and distribute incoming mail
prepare and send outgoing mail and packages
Prepare and distribute general correspondence and memos
Organize, compile, and prepare reports for distribution
Create and maintain accurate physical and virtual filing systems
Update employee, client, and customer contact databases
Coordinate conference room reservations
Organize department lunches, meetings, events, and business travel
Receive building access requests and coordinate access for visitors and vendors
Ensure tenant and contractor certificates of insurance meet defined standards
Track certificate of insurance expiration dates and provide advance notice of upcoming expirations
Support management and engineering audits through file preparation and record-keeping
Participate in new tenant welcome and orientation programs
assist with move-in and move-out procedures
Track and coordinate access card activation and deactivation
Assist the property team with developing and implementing property and employee manuals
Maintain regular contact with maintenance, security, and building staff to ensure cleanliness and security of common areas
Document incidents involving potential property or equipment liability and forward details to risk management
Gather W-9 forms from vendors and assist with new vendor setup
Assist with property budget preparation and recurring reporting
Support engineers by recording and billing monthly utility meter readings, as applicable
Assist with vendor contract creation, execution, and tracking
Provide general and ad hoc administrative support as needed
Perform other duties and tasks as assigned
Requirements:
High school diploma required
Bachelor’s degree (BA/BS) preferred
Minimum of 1 year of experience in commercial real estate, property management, or office management
Proficiency in Microsoft Office Suite and willingness to learn new programs and technologies
Strong oral and written communication skills
High attention to detail and strong organizational skills
Self-starter able to manage multiple projects under pressure
Ability to work independently or collaboratively with team members and internal clients at all levels
Ability to calculate figures and percentages
Strong problem-solving skills and ability to develop constructive solutions
Comfortable with change and uncertainty
able to adapt and make decisions with incomplete information
Ability to work flexible hours as needed (occasionally exceeding standard hours)
