Vertu Motors is one of the largest automotive retailer groups throughout the UK and currently have over 190 sites, covering the majority of vehicle manufacturers including but not limited to Toyota, Honda, Ford, Peugeot, Vauxhall BMW, Mercedes Benz and Land Rover. We are currently looking for an Asset & Data Administrator to join our property team and want to be an integral part of a fast-moving energetic team, please see below. This is a varied and engaging role that provides essential support within Vertu’s Property Team. The successful candidate will be responsible for maintaining and managing the Group’s real estate data and associated databases, ensuring information is accurate, up to date, and readily accessible. A key part of the role involves overseeing the Group’s business rates obligations, whilst the position will also take responsibility for service charge management. In addition, the role will offer ad‑hoc support to the Reactive Maintenance Team during busy periods. This may include instructing contractors, coordinating responses to dealership enquiries, and ensuring that maintenance activities are processed efficiently and communicated clearly. Overall, this position plays an important part in supporting the effective management of Vertu’s property portfolio and ensuring high‑quality service to our dealership network.

Job Responsibility

  • Managing the property estates business rates, supervising appeals, processing documentation from local authorities, monitoring refunds, and maintaining accurate schedules
  • Keep business rates schedules up to date and budget effectively for future costs, as well as provide lease information to the Valuation Office Agency when needed
  • Managing the property estates service charge payments. Analysing landlords' service charge budgets, challenging those budgets if necessary, reconciling annual expenditure, maintaining accurate records and addressing queries when required
  • General property estate management duties, including but not limited to organising inspections by landlords or their contractors/agents, and maintaining and updating property records
  • Duties will also include liaising with stakeholder to manage and resolve minor disputes
  • Collate, schedule and report property information when requested by stakeholders
  • Keeping property data records up to date is crucial, and this includes maintaining the asset register and obtaining information from various sources, creating and maintaining digital files and building identifier documents, to ensure everything is current and accurate
  • Ad-hoc assistance to the property reactive maintenance team, processing logged maintenance issues, liaising with contractors and updating the property maintenance system
  • Maintaining and organising the property estates digital records, to ensure information is available readily in a logical format

Requirements

  • Proficiency with Excel, Word and other office-based systems
  • Attention to detail, maintaining accurate records and ability to work in a quick-paced environment
  • Time management skills are essential in this fast-moving role
  • Excellent communication skills with the ability to handle challenging situations
  • Team player that provides support to other colleagues
  • A willingness to learn and be coached to improve the service to Vertu’s dealership network and wider stakeholders
