Job Description:

Robert Half is seeking a highly organized and detail-oriented Property Administrator on behalf of our client in the commercial property management industry. This is a fantastic opportunity to join a leading organization known for excellence and innovation. The Property Administrator will provide essential administrative and operational support to the property management team. The role involves assisting with tenant communication, managing day-to-day operations of the property, and maintaining accurate records to ensure the smooth functioning of the property management team.

Job Responsibility:

  • Maintain and update property records, including lease documents, tenant correspondence, vendor contracts, and compliance documentation
  • Serve as the first point of contact for tenant inquiries, addressing concerns promptly and professionally
  • Assist in coordinating property repairs and maintenance, including liaising with vendors and service providers
  • Monitor and manage accounts receivable, ensuring rent payments are accurate and timely
  • Prepare monthly financial reports, expense summaries, and other required documentation for internal and external stakeholders
  • Assist with tenant move-in and move-out processes, including inspections and documentation
  • Maintain an organized filing system for property-related records, contracts, and communications
  • Support the property management team during budget preparation, annual audits, and other related processes
  • Monitor insurance certificates, licensing, and regulatory compliance for property operations
  • Provide administrative support for tenant meetings, property tours, and other events

Requirements:

  • 2+ years of administrative, property management, or real estate experience
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite and property management software (such as Yardi, MRI, or similar systems)
  • Highly organized with the ability to prioritize tasks and meet deadlines
  • Basic understanding of property management and lease administration processes
  • Excellent interpersonal skills and ability to resolve tenant concerns in a friendly and professional manner
  • Proven ability to work independently and collaboratively in fast-paced environments
