We are seeking a detail-oriented and proactive Property Administrator to join our client's dynamic property management team in Springfield, MA. The Property Administrator will play a key role in supporting the day-to-day administrative operations of a portfolio of residential and/or commercial properties. The ideal candidate will thrive in a fast-paced environment, delivering exceptional customer service to tenants, property owners, and vendors while ensuring smooth office operations and adherence to company standards.
Job Responsibility:
Assist property managers in coordinating daily property management activities, including maintenance requests, tenant communication, and vendor relations
Prepare and process maintenance work orders, track completion status, and ensure follow-up with all parties involved
Monitor and manage lease expirations, renewals, move-ins, and move-outs, ensuring compliance with procedures and deadlines
Prepare and distribute tenant billing statements for rent, utilities, and other charges
Distribute property notices, newsletters, and other tenant communications as needed
Maintain accurate and up-to-date property records, including lease agreements, insurance documents, and tenant files
Prepare reports on property performance, tenant occupancy, and financials for review by management
Manage office supplies, mail distribution, and other general administrative tasks for the property management office
Work closely with vendors and contractors to schedule and oversee routine property maintenance and repair work
Ensure that vendors comply with company policies, liability insurance requirements, and agreed-upon schedules
Maintain a list of approved contractors and assist in securing bids for projects as instructed
Help coordinate and maintain compliance with local, state, and federal laws, as well as company policies and procedures
Assist with scheduling and conducting routine inspections of properties, documenting findings, and reporting issues to management
Ensure all tenant and property-related documentation is completed and stored according to company policies and regulations
Requirements:
Proven experience in an administrative or property management role, preferably within the real estate or property management industry
Strong organizational skills and the ability to prioritize and manage multiple tasks effectively
Excellent verbal and written communication skills, with a customer service mindset
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and property management software (e.g., Yardi, AppFolio, or similar systems)
Knowledge of lease administration and general real estate practices
Nice to have:
Experience in residential and/or commercial property management
Familiarity with Springfield, MA property regulations and compliance requirements
Proficiency in CRM systems and property management software
Ability to analyze data and generate reports
Familiarity with budgeting and financial processes in property management
Knowledge of relevant industry standards and regulations
