We are looking for a detail-oriented Property Administrator to support daily property operations in California. This Long-term Contract opportunity is ideal for an administrative specialist who communicates confidently with tenants, keeps office activities organized, and helps ensure service requests and documentation are handled efficiently. The position is fully onsite and offers the chance to contribute to a collaborative office environment while supporting property management functions.
Job Responsibility
Coordinate day-to-day administrative activities for the property management office and maintain organized records, files, and correspondence
Track incoming work orders, update their status, and help ensure service requests are routed and followed through in a timely manner
Serve as a point of contact for tenants by responding to routine questions and relaying information clearly and professionally
Assist with invoice processing, including coding support and maintaining accurate payment-related documentation when needed
Prepare, update, and maintain reports, logs, and spreadsheets using Microsoft Office tools, especially Excel
Support the property management team with general office tasks, scheduling, and operational follow-up to keep daily activities running smoothly
Help maintain accurate property and administrative data within relevant systems, including Yardi when applicable
Requirements
At least 3 years of administrative experience, preferably in property management or a related office setting
Strong communication skills with the ability to interact effectively with tenants and internal team members
Prior experience managing administrative processes such as recordkeeping, correspondence, and service request tracking
Working knowledge of Microsoft Office, including intermediate Excel skills for updating existing spreadsheets and tracking information
Experience with invoice coding or accounts-related administrative support is highly preferred
Familiarity with property management environments, including residential or commercial settings, is an advantage
Experience using Yardi software is preferred
Ability to work onsite Monday through Friday in Irvine, California in a detail-oriented business environment
