We are looking for a detail-oriented Property Administrator to support daily community and property operations for a contract position. This role works closely with the General Manager to keep administrative processes organized, respond to resident and tenant needs, and help maintain a high-quality experience for board members, vendors, and homeowners. The ideal candidate brings prior property management experience, strong communication skills, and confidence using Microsoft Office and other office technology in a fast-paced environment.
Job Responsibility
Support the General Manager by carrying out administrative tasks aligned with board direction and established management guidelines
Conduct routine site walkthroughs to observe property conditions and help ensure community standards, rules, and compliance expectations are maintained
Serve as a front-line point of contact for tenants, residents, homeowners, board members, contractors, and service providers, delivering clear and timely communication
Coordinate the issuance of community access items such as pool credentials, parking permits, and keys or entry devices as needed
Manage incoming mail and package activity by receiving, organizing, recording, and distributing items accurately
Maintain databases and office records by entering updated information, organizing files, and tracking important documents
Assist with maintenance coordination by logging service requests, monitoring work orders, and following up on completion status
Contribute to additional property or administrative projects as assigned to support smooth day-to-day operations.
Requirements
At least 3 years of office experience, including prior exposure to property management or residential community administration
Practical knowledge of property management processes, preferably within residential, HOA, or similar community-based environments
Strong proficiency with Microsoft Office Suite and the ability to learn and use office systems efficiently
Excellent verbal and written communication skills with a detail-oriented approach to resident, tenant, and board interactions
Strong organizational skills with the ability to manage documents, data entry, and multiple priorities accurately
Ability to handle maintenance-related administrative tasks and coordinate effectively with vendors or internal teams
Comfortable working independently while also supporting leadership and collaborating with a variety of stakeholders.
