We are looking for a detail-oriented Property Administrator to support day-to-day property operations in San Jose, California. This Contract position is ideal for someone who can balance tenant support, leasing coordination, and administrative oversight across residential and commercial properties. The role requires strong organization, sound judgment, and the ability to keep records, communications, and vendor activities running smoothly.
Job Responsibility
Oversee administrative activities for assigned properties, ensuring leases, tenant files, and operational records remain accurate and up to date
Coordinate leasing support by preparing documentation, responding to prospective tenant inquiries, and assisting with move-in and renewal processes
Serve as a point of contact for residents, tenants, vendors, and internal teams to resolve routine property-related matters efficiently
Maintain rent rolls, work order tracking, and property reports while monitoring deadlines and compliance requirements
Support both residential and commercial property operations by helping manage service requests, inspections, and vendor scheduling
Use Yardi software to enter data, generate reports, track lease information, and maintain organized property management records
Assist with occupancy, billing, and general office functions that contribute to smooth daily property performance
Requirements
Experience supporting property management operations in a residential, commercial, or mixed-property environment
Background in leasing coordination or tenant-facing administrative work
Working knowledge of property management practices, lease documentation, and day-to-day site administration
Proficiency with Yardi software for recordkeeping, reporting, or lease administration
Strong organizational skills with the ability to manage multiple priorities and maintain accurate documentation
Effective written and verbal communication skills for interacting with tenants, vendors, and internal stakeholders
Ability to work independently in a fast-paced Contract role while maintaining professionalism and attention to detail
