Job Description

We are looking for a highly organized and proactive Projects Administrator . This is a critical role that serves as the "connective tissue" between our project management, estimating, and field teams. If you are a detail-oriented professional who loves keeping projects on track and enjoys a collaborative, fast-paced environment, we want to hear from you.

Job Responsibility

  • Assist Project Managers with progress billing preparation and documentation
  • Assist Estimators with document preparation and bid closing duties
  • Track purchase orders, invoices, and delivery receipts
  • Maintain logs of project schedules, milestones, and delivery timelines
  • Maintain logs for all submittals, RFIs, shop drawings, and approvals
  • Communicate with suppliers regarding lead times, order confirmations, and delivery dates
  • Serve as the central communication point between Project Managers, estimating, purchasing, accounting, and warehouse teams
  • Prepare agendas, notes, and follow-ups for weekly project coordination meetings

Requirements

  • Organization skills to handle schedules, timelines, and tasks effectively
  • Proficiency in Documentation, Record-Keeping, and Data Entry
  • 2+ years of administrative experience
  • 2+ years of Microsoft Office experience
  • Previous experience in project administration or a related field is an asset
  • Post-secondary education in business administration, project management, or a related discipline is an asset
  • Knowledge of Microsoft Office Suite or similar software
  • Strong communication, problem-solving abilities
  • Attention to Detail and Problem-Solving skills

  • Retention & Risk Management: Track project retentions, chase outstanding amounts, and report on recovery progress and risks.
  • General Support: Provide day‑to‑day commercial and administrative support to the Strategic Finance team. Produce and maintain project reports and assist with governance activities.
