Job Description

We are looking for a detail-oriented Project Support Coordinator to join our team in Kingston, Rhode Island. In this long-term contract position, you will play a vital role in supporting project activities, managing schedules, and ensuring smooth communication between stakeholders. This role offers an opportunity to contribute to a dynamic project environment while showcasing your organizational and coordination skills.

Job Responsibility

  • Maintain and update the project calendar to track key milestones, deliverables, and deadlines throughout the implementation lifecycle
  • Schedule and coordinate recurring meetings, workshops, and user acceptance testing sessions, ensuring efficient planning and resource availability
  • Identify and resolve potential conflicts in scheduling, collaborating with team members and stakeholders to align priorities
  • Facilitate logistics for meetings and events, including reserving rooms, setting up virtual meetings, and ensuring equipment readiness
  • Create and distribute high-quality presentations and documentation for stakeholder meetings, executive briefings, and project updates
  • Record and organize meeting minutes, decision logs, and other critical project documentation in a centralized repository
  • Ensure timely communication of agendas, action items, and updates to all relevant stakeholders
  • Support the development of visual aids and materials using tools such as PowerPoint and Excel
  • Provide administrative and coordination support to project managers and team leads as needed
  • Monitor attendance and follow up with participants to ensure engagement in project activities

Requirements

  • Proven ability to manage timelines and schedules for complex projects
  • Experience with master scheduling and coordinating events or activities
  • Familiarity with project management tools and practices
  • Strong skills in creating and maintaining documentation, including presentations and reports
  • Excellent communication skills to liaise effectively with internal teams and external stakeholders
  • Proficiency in tools such as PowerPoint, Excel, and other documentation software
  • Attention to detail and ability to proactively identify and resolve scheduling conflicts

Nice to have

Previous experience in construction projects or similar environments is a plus

  • Check the project milestone schedule and Tao factory’ hydrotest and FAT schedule and make the class documents submission and approval plan
  • Compile the class documents as per requirements with good quality and submit to the Class for review in a timely manner

  • Coordinate the comments communication/clarification between the Classes and project engineers
  • Work together with the project master planning and PM to ensure the milestone date for the class approval is correct
