Job Description

Our client, a global EPCM is seeking a proactive and detail-oriented Site Administrator to join the site project team. This role is critical to supporting daily site operations, with primary responsibility for the site Proof of Presence (PoP) system and contractor onboarding activities. You will be a key point of contact for site administration, contributing to a well-organised and positive site culture. This is a FIFO role out of Perth on a 2/1 roster.

Job Responsibility

  • Manage and maintain the site Proof of Presence system, including data reconciliation, daily reporting, liaison with contractor administrators, and printing swipe cards
  • Oversee end-to-end onboarding of contractor personnel, ensuring all compliance requirements are met and documentation is complete, accurate, and submitted on time
  • Coordinate mobilisation activities for visitors and new starters, including inductions, site access, medicals, and training bookings where required
  • Maintain onboarding records and compliance tracking systems to ensure site entry standards are upheld
  • Process and coordinate all travel and accommodation bookings for project personnel, including contractors, village maintenance, and visitors, in line with roster schedules and project requirements

Requirements

  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, SharePoint, and Outlook
  • Experience using INX or similar personnel management systems (preferred)
  • Qualifications or formal training in business or office administration (preferred)
  • Previous experience in a FIFO, remote site, or project-based administration role within resources, mining, or infrastructure environments
  • Excellent written and verbal communication skills, with confidence liaising across all levels of a project team
  • Only candidates with the right to work in Australia will be considered (Australia Citizen, PR Holder, or Valid Australia working VISA)
