We’re seeking a highly organized and collaborative Project Manager to serve as the operational backbone of a boutique healthcare marketing agency. This role owns timelines, resources, and workflows across multiple integrated campaigns—ensuring projects are delivered on time, on budget, and in compliance with healthcare regulations. The ideal candidate brings strong agency experience, a background in healthcare, pharma, hospital, medical or life sciences industries, a steady leadership style, and a proven ability to manage complexity across digital (80%) and print (20%) workstreams.
Job Responsibility:
Own end-to-end project planning and execution across multiple healthcare marketing accounts
Develop and manage timelines, scopes, budgets, and deliverables
Lead kickoff meetings, status updates, and post-project reviews
Proactively identify risks, dependencies, and scope changes
Manage agency workflow and resource allocation across creative, strategy, and production teams
Balance workloads, prioritize requests, and adjust schedules based on capacity and deadlines
Maintain project and traffic tools (Monday.com, SharePoint)
Forecast resourcing needs and flag bottlenecks or underutilization
Act as liaison between account teams, creatives, vendors, and leadership
Support realistic timelines and client expectations
Coordinate internal and external review cycles, including medical/legal/regulatory approvals
Improve and document workflows, templates, and best practices
Track performance metrics and provide reporting on timelines, utilization, and delivery
Support continuous improvement of agency operations and scalability
Requirements:
5+ years of project and/or traffic management experience in a marketing or creative agency or in house creative environment
Experience in digital, integrated, or omnichannel healthcare marketing for industries such as healthcare, pharma, hospital brands, or life sciences required
Proven ability to manage multiple projects and deadlines simultaneously
Strong organizational, communication, and problem-solving skills
Experience working with cross-functional creative teams
Proficiency with project management and resource tools (Monday.com, SharePoint)
Comfortable navigating ambiguity and shifting priorities
Calm, matter-of-fact leadership style with a collaborative, team-first mindset
