We are looking for an experienced Project Manager to join a nonprofit organization in Honolulu, Hawaii on a Contract basis. This role will lead efforts to strengthen internal operations by documenting procedures, clarifying workflow steps, and improving the structure of digital records and finance-related processes. The ideal candidate can quickly evaluate current practices, turn complex activities into clear materials, and provide organized documentation that supports leadership planning ahead of an upcoming board meeting. Due to the nature of the work and onsite requirements, preference will be given to Hawaii residents. Applicants should be able to reliably commute or reside within the region to meet business needs.
Job Responsibility
Evaluate current operational procedures and rewrite internal documentation so it is clear, consistent, and practical for daily use
Study existing workflows across departments, including finance-related activities, and document how work moves from start to finish
Produce process maps, written guides, and related reference materials that help teams follow standardized methods
Translate observed practices into both visual workflow diagrams and narrative documentation for internal stakeholders
Prepare organized process documentation and presentation-ready materials to assist leadership conversations and board meeting preparation
Bring order to digital file storage by reviewing current records, restructuring folders, and improving document organization
Align files, records, and supporting materials with updated procedures so teams can access information more effectively
Partner with staff across functions to gather input, confirm process accuracy, and ensure documented workflows reflect real operating needs
Develop high-quality documentation and presentation materials using PowerPoint and other business tools as needed
Coordinate a fast-moving project timeline and support a smooth onboarding to available workplace technology and systems
Requirements
At least 5 years of experience in project management, process improvement, operations, or a closely related field
Demonstrated ability to analyze business workflows and convert them into well-structured, easy-to-follow documentation
Hands-on experience creating standard operating procedures, process maps, and supporting procedural resources
Strong written communication, document review, and editing skills with exceptional attention to detail
Ability to work independently while collecting information and feedback from multiple stakeholders
Proven organizational skills with experience bringing structure to complex or previously unstructured environments
Proficiency with Microsoft Office, including PowerPoint
experience with SharePoint is strongly preferred
Familiarity with process mapping or workflow platforms such as Visio, Miro, ClickUp, Creately, Cflow, or similar tools
