This role plans and executes national projects and contract negotiations across office services, office supplies, and other operational areas where services and pricing must be developed, negotiated, and implemented. The position develops and executes project strategies and rollout plans at both local and national levels and supports renovations, relocations, expansions, and construction of physical office spaces across U.S. locations.
Job Responsibility:
Assist with or lead new office openings and office relocations, supporting local management by recommending, documenting, and improving operational processes
Partner with leadership to evaluate and improve operational functions by gathering information, documenting current processes, analyzing effectiveness, and proposing cost‑effective, standardized solutions
Work with external vendors to procure office supplies, maintenance, stationery, and outsourced services by developing RFPs, analyzing responses, and negotiating favorable pricing and service terms
Review contracts for appropriate language, terms, and services
coordinate legal review as needed
Coordinate and communicate service rollouts (e.g., vending, shipping, maintenance, and other operational programs), including developing timelines, managing internal and external resources, and traveling to sites as required
Lead or support office openings by coordinating cross‑departmental teams, managing timelines, and ensuring clear communication with all stakeholders
Serve as liaison with IT on operational projects including vendor technology requirements, name change rollouts, and e‑billing initiatives
Manage and maintain Operations intranet pages by regularly gathering and updating content
Oversee office moves by selecting movers, developing move plans and instructions, and providing on‑site support before, during, and after relocations
Perform additional duties and special projects as assigned
Requirements:
Bachelor’s degree required, preferably in Business Administration, Architecture, Construction Management, or a related field
Minimum of 5 years of experience in operations and project management
Demonstrated experience with contract negotiations and advanced analytical skills
Advanced proficiency in Microsoft Excel required
Strong interpersonal and communication skills
Proven ability to manage multiple projects independently in a fast‑paced environment
Willingness and ability to travel as needed to support projects across U.S. offices
