Job Description:

The Visual Merchandising Operations Project Manager (Temp) will play a key role in overseeing day-to-day visual merchandising activities while driving long-term planning for product launches. This candidate will manage all facets of visual merchandising operations, including seasonal display and graphic updates, new door installations, and post-launch maintenance across retailer environments. Responsibilities include managing timelines, leading vendor meetings, partnering with cross functional teams, and ensuring clear, consistent communication to meet deadlines. The role also demands strong project management skills to uphold a high level of operational excellence. The ideal candidate will bring strong communication and project management skills, demonstrating proactive responsiveness in a fast-paced environment. They should be highly organized, process-oriented, and adept at managing complex information. Working closely with marketing, sales, and creative teams, this individual will apply advanced project management expertise to foster clear communication and strong cross-functional collaboration. They will help develop and refine our processes in response to evolving business needs. Experience managing vendor relationships and familiarity with display fabrication are strong pluses. This role offers an exciting opportunity to oversee all aspects of visual merchandising operations and project management as the brand continues its global expansion. This role is hybrid and open to candidates based in Southern California. This role sits on our Sales team and reports into our Executive Director, Visual Merchandising.

Job Responsibility:

  • Partner with the sales team as the VM point of contact to ensure all gondola and retail updates are delivered on time and on budget
  • Act as the main liaison with fixture vendors, leading weekly calls and coordinating between meetings to drive development progress and on-time execution
  • Integrate and manage timelines across fixture vendors, sales, marketing, and creative teams to plan the global seasonal updates schedule
  • Partner with Creative Operations and designers to review project scope, timelines, artwork reviews and approval process
  • Input projects, tasks, and timelines into Asana and follow up regularly to ensure on-time execution
  • Proactively keep cross-functional partners informed through meeting agendas and actionable recaps, while identifying potential risks early, communicating critical updates, and recommending solutions
  • Manage the approvals process with manager and stakeholders
  • Attend 1:1, team and cross-functional meetings as needed
  • Oversee the display development process from planogramming through technical drawing review and prototype approval
  • Create schematic planograms that consider product flow, design, and budget requirements
  • Present planogram options to the team manager and senior leadership to secure approvals
  • Develop creative briefs and kickoff decks outlining all required displays and graphics
  • Review technical drawings with the manager and communicate revisions to vendors
  • Assess prototypes and graphic samples to ensure high-quality design and execution
  • Review instruction sheets and provide revisions as needed
  • Evaluate materials and production processes to enhance quality or reduce costs
  • Create Excel-based assortment sheets for each retailer update
  • Maintain databases tracking door counts and merchandising inventory
  • Prepare supporting documents, including presentation decks and budget materials
  • Provide distribution lists and finalize graphic/display orders
  • Oversee in-store repairs, replacements, new door openings, and installations
  • Conduct store visits to assess ILIA display quality and monitor beauty industry trends
  • Review vendor quotes to ensure costs align with budgets
  • Contribute to the continuous improvement of processes to achieve operational excellence

Requirements:

  • 6+ years of experience in visual merchandising operations and project management, ideally within the beauty industry and open-sell retail environments
  • Proven understanding of merchandising timelines, display/print development and production processes
  • Proven ability to manage multiple projects with agility, meeting deadlines while ensuring high-quality results
  • Effectively communicates through proactive interaction and attentive follow-up
  • Brings integrity, enthusiasm, and a growth mindset, and remains receptive to feedback to foster continuous learning and process improvement
  • Thrives in a fast-paced, entrepreneurial environment
  • Proficient in Asana, Excel, and Google Workspace (Sheets, Slides, Docs)

Nice to have:

  • Adobe Illustrator experience
  • Experience managing vendor relationships
  • Familiarity with display fabrication
