Job Description

The Project Manager Club Upgrades facilitates the full upgrade process across Urban Gym Group’s club portfolio. As the central point of coordination, this role brings together planning, contractors, suppliers, and internal teams to ensure upgrades are delivered on time, within budget, and to the highest standards. It calls for a flexible, hands-on professional who is comfortable travelling between locations, being present on-site, and hosting regular stakeholder updates.

Job Responsibility

  • Facilitate the club upgrade process end-to-end, from planning through to handover
  • Communicate effectively with all stakeholders, internal (marketing, communications, operations) and external (contractors, suppliers, members), keeping everyone informed and aligned
  • Travel to various club locations as project needs require
  • Manage projects holistically, coordinating planning, contractor schedules, timelines, and deliverables to keep everything on track
  • Host weekly on-site update meetings to review progress, address issues, and ensure accountability across all workstreams
  • Support end-to-end club upgrade projects, from scoping and design through to completion and handover
  • Develop and maintain detailed project plans covering timelines, milestones, budgets, and resource allocation
  • Coordinate all moving parts: contractors, suppliers, internal teams, and third-party consultants, to deliver upgrades to specification
  • Manage multiple upgrade projects simultaneously across different club locations
  • Conduct site assessments and feasibility studies for planned upgrades
  • Track progress against milestones and proactively address delays or risks
  • Act as the primary point of contact for all upgrade-related communications with internal and external stakeholders
  • Work with marketing and communications to manage member-facing messaging around upgrade timelines and any disruptions
  • Liaise with contractors and suppliers to ensure work quality, timelines, and specifications are met
  • Engage with club teams to manage expectations and gather feedback during and after upgrades
  • Present project updates, progress reports, and budget reviews to senior leadership
  • Monitor project budgets, track expenditures, and identify cost-saving opportunities without compromising quality
  • Support in ensuring all upgrades comply with health & safety regulations, building codes, and brand standards
  • Conduct quality inspections at key milestones and upon completion
  • Develop post-upgrade evaluation processes to measure success and capture learnings
  • Travel regularly to club locations and maintain on-site presence during critical project phases
  • Coordinate with operations teams to ensure seamless transitions between construction phases and day-to-day club operations

Requirements

  • Proven experience in club upgrade, renovation, or refurbishment projects, ideally within the fitness, leisure, hospitality, or retail sector
  • +- 3-5 years of club or project management experience
  • Experience managing external contractors, suppliers, and consultants
  • Strong project management skills with the ability to handle multiple workstreams simultaneously
  • Excellent communication skills, confident engaging with contractors, suppliers, marketing teams, and members alike
  • Problem-solving mindset and the ability to adapt quickly to changing circumstances
  • Proficiency in project management tools (e.g., Monday.com, or similar)
  • Strong attention to detail and commitment to quality
  • Confident hosting and facilitating meetings with diverse stakeholder groups
  • Flexible and willing to travel across club locations, including early starts and occasional weekends
  • Hands-on, proactive approach with a willingness to be on-site during critical phases
