Job Description:

We are looking for an organized and detail-oriented Project Management Administrative Assistant to support the operations of a commercial construction firm in Franklin, Tennessee. This role involves handling diverse administrative tasks, including data entry, purchase order documentation, and collaboration with project management teams. This is a Contract to permanent position, for apx 30 hours/wk (or five 6-hour days), offering the opportunity to contribute to a dynamic and detail-oriented small-office environment.

Job Responsibility:

  • Perform extensive data entry and maintain accurate records from various sources
  • Review purchase orders and gather required documentation for project management
  • Manage and organize large spreadsheets using Microsoft Excel for data tracking and analysis
  • Utilize Sage 100 Contractor software to support administrative and project management tasks
  • Assist the project management team with day-to-day operations and administrative support
  • Ensure all documentation and forms are completed with high attention to detail
  • Communicate effectively with team members and vendors to maintain workflow efficiency
  • Adapt to working independently some days and collaboratively in a bustling office environment
  • Provide receptionist duties, including answering inbound calls and directing inquiries
  • Support commercial construction projects by maintaining familiarity with industry-specific documentation and processes

Requirements:

  • Minimum of 2 years of experience in administrative roles, preferably within a construction setting
  • Proficiency in Sage 100 Contractor software is required
  • Advanced skills in Microsoft Excel, including managing and navigating large datasets
  • Strong organizational abilities with a keen eye for detail
  • Comfortable working both independently and in a team-oriented environment
  • Familiarity with commercial construction projects and related documentation is highly preferred
  • Excellent communication skills, both written and verbal
  • Ability to adapt to a small-office setting and handle various administrative responsibilities
