We are looking for a skilled and detail-oriented Project Management Administrative Assistant to join a dynamic commercial construction firm in Franklin, Tennessee. This contract position offers a part-time schedule of approximately 30 hours per week, with the opportunity to transition into a long-term role. The ideal candidate will play a pivotal role in supporting project management operations and ensuring administrative tasks are handled efficiently and accurately.
Job Responsibility:
Input and maintain accurate data across multiple systems and sources
Process and organize purchase orders and associated documentation for project management purposes
Create, update, and manage large spreadsheets in Microsoft Excel for tracking and reporting
Utilize Sage 100 Contractor software to execute administrative tasks and assist project management workflows
Provide comprehensive support to the project management team, ensuring operational efficiency
Ensure all documentation is completed with precision and meets company standards
Communicate effectively with team members and external partners to streamline project operations
Balance independent work with collaborative tasks in a fast-paced office environment
Perform receptionist duties, such as answering calls and directing inquiries
Assist in maintaining familiarity with commercial construction processes and related documentation
Requirements:
At least 2 years of experience in administrative roles, ideally within the construction industry
Proficiency with Sage 100 Contractor software is mandatory
Advanced knowledge of Microsoft Excel, including working with large data sets
Strong organizational skills and exceptional attention to detail
Ability to work independently as well as collaboratively in a team setting
Understanding of commercial construction processes and documentation is highly preferred
Excellent written and verbal communication skills
Flexibility to adapt to a small-office environment and varied administrative tasks
