Objective: To proactively monitor, manage, and derisk the supply chain, ensuring the timely delivery of all materials and equipment in accordance with established project schedules, quality assurance, and contract requirements.
Job Responsibility:
Supplier Monitoring: Oversee the timely progress of all executed purchase orders (POs) with suppliers, including engineering, documentation, manufacturing, inspections and testing, and final shipment.
Schedule Adherence: Monitor vendor manufacturing schedules and project timelines to ensure adherence and proactively manage any potential delays.
Communication & Coordination: Establish and maintain clear communication channels ensuring regular contact with suppliers, internal project teams (engineering, quality control, logistics, supply management), and the client regarding expediting issues and shipment readiness.
Documentation & Reporting: Validate completion and delivery statuses regularly in Maximo, prepare and update consolidated weekly and monthly expediting reports, providing feedback to stakeholders, and ensuring all data for reporting is complete and accurate.
Issue Resolution & Mitigation: Promptly report any non-conformity, critical issues, or potential delays, and coordinate the implementation of corrective actions.
Quality Control Interface: Coordinate with Quality Control (QC) and third-party inspection agencies to ensure scheduled inspections are performed timely and non-conformance reports (NCRs) are handled efficiently.
Logistics & Delivery: Interface with logistics teams to facilitate delivery as per the purchase order terms (Incoterms), manage packing lists, and ensure all necessary documentation for export is available.
PO Closure: Follow up on shortage or damage reports until closure and assist in the final purchase order close-out procedures.
Requirements:
15 years proven experience in expediting, procurement, or supply chain management, preferably within an EPC, oil & gas, mining or large-scale industrial project environment.
Strong understanding of procurement processes, supply chain dynamics, and quality management principles.
Familiarity with expediting tools, production schedules (e.g., Gantt charts), and reporting templates.
Excellent communication, negotiation, and interpersonal skills to manage vendor relationships effectively.
Ability to travel and to work from site when required.
