Airswift is looking for a Project Expeditor to work with one of our major clients in Gregory, TX for a 2-year assignment. The Project Expeditor is responsible for coordinating and expediting the flow of materials, equipment, documentation, and information to ensure projects meet schedule, cost, and quality targets. This role acts as a key interface between project management, engineering, procurement, construction, and suppliers, proactively resolving bottlenecks and ensuring on-time delivery for the project.
Job Responsibility
Monitor project schedules and material status reports to identify expediting priorities and risks to critical milestones.
Coordinate closely with project managers, engineers, planners, and site teams to confirm required-by dates and align expediting activities with the overall project plan.
Track all orders, equipment, engineering deliverables and other key documents against the project schedule
maintain up-to-date expediting logs and status dashboards.
Communicate regularly with suppliers and internal stakeholders to obtain progress updates on fabrication, inspection, documentation, and shipping.
Identify potential delays in manufacturing, approvals, logistics, or documentation and initiate mitigation actions (e.g., escalation, resequencing, alternate routing, partial shipments).
Support site logistics by coordinating material deliveries, temporary storage, and transfers between locations in line with construction needs.
Participate in project progress meetings, providing clear expediting status and highlighting risks and recovery plans.
Assist with purchase order close-out by confirming final deliveries, resolving discrepancies, and ensuring complete documentation is received and archived.
Monitor open purchase orders tracking promised dates versus required-by dates and updating expected delivery dates.
Contact suppliers and sub-suppliers frequently to obtain realistic production, inspection, and shipping status, and to drive on-time delivery of materials, equipment, and technical documents.
Verify order details (specifications, quantities, packaging, shipping instructions) and coordinate corrections with buyers when discrepancies or changes are detected.
Work with suppliers and internal teams (engineering, quality, logistics, materials management) to resolve delivery issues, non-conformances, and scheduling conflicts, including developing and tracking recovery plans for late orders.
Escalate persistent supplier performance issues and schedule risks to procurement and project management, providing clear documentation of impacts and recommended actions.
Requirements
Experience in project execution, supply chain, or project expediting within EPC, or similar project-driven environments.
Excellent communication and negotiation skills, with the ability to influence suppliers and coordinate across multiple internal functions.
High attention to detail, strong follow-through, and the ability to manage multiple orders and priorities in a fast-paced project environment. Strong understanding of project schedules (e.g., Gantt charts, key milestones) and how documents, material and equipment deliveries affect critical path activities.
Familiarity with purchasing processes, purchase orders, and supplier management.
