We are looking for a detail-oriented Project Coordinator for a long-term contract role. This role requires you to be onsite 4 days a week in Century City. The ideal candidate will have experience in media, entertainment or tech. The role involves supporting operational logistics, coordinating workshops, and maintaining documentation to ensure smooth workflows.
Job Responsibility:
Coordinate vendor contract requests and ensure timely processing
Schedule and manage logistics for workshops, including reserving conference rooms, ordering supplies, and arranging meals
Format presentation decks to ensure clear and effective visuals
Organize and maintain shared folders, manage version control, and establish access permissions for program-related materials
Compile status summaries of features and provide updates to relevant stakeholders
Draft meeting notes and document action items to support project execution
Proctor coding exercises for candidate screenings and ensure proper setup
Facilitate knowledge transfer sessions and streamline training logistics for project resources
Maintain technical documentation, record architecture decisions, and update runbooks for standardized procedures
Track expenses and assist with recurring administrative processes to ensure consistent operations
Requirements:
Proven experience in administrative support roles, including data entry and receptionist duties
Strong organizational skills with the ability to manage multiple priorities effectively
Proficiency in maintaining technical documentation and shared folders
Excellent communication skills for drafting notes and coordinating logistics
Familiarity with scheduling tools and workshop coordination
Ability to format presentations and compile summaries in a clear and concise manner
Experience onboarding new team members and managing recurring processes
Knowledge of expense tracking and vendor contract management
