Our client is seeking a highly organized Project Coordinator to support a fast‑moving executive who travels frequently and manages multiple priorities across global locations. This role focuses on coordination, tracking, prioritization, and inbox management rather than traditional customer‑facing work.
Job Responsibility:
Manage and monitor executive email inbox (Gsuite‑based)
Track tasks, priorities, and ongoing items to ensure nothing falls through the cracks
Assist with travel‑related coordination across multiple cities (including Dublin, Munich, Madrid, Dallas, Singapore, and India)
Handle expense tracking and basic expense support
Provide general administrative and production support as needed
Prioritize incoming requests and flag time‑sensitive or critical items
Maintain a high level of confidentiality and sensitivity at all times
Requirements:
Exceptionally organized with strong tracking and follow‑through skills
Comfortable having access to and managing an executive inbox
Able to prioritize effectively in a fast‑paced, changing environment
Trustworthy, discreet, and comfortable handling sensitive information
Adaptable and proactive
Comfortable working with Google Workspace (Gsuite)
Familiar with Apple computers and macOS environments
Nice to have:
Prior assistant, production, or administrative experience
Experience supporting someone who travels frequently
Based in or able to be in San Francisco regularly (preferred)
