We are looking for a Project Coordinator to support a large-scale retail equipment expansion initiative in Phoenix, Arizona. This Long-term Contract position will focus on keeping project activities organized, monitoring progress across multiple workstreams, and helping ensure store installations stay on schedule. The ideal candidate brings strong administrative and operational coordination skills, is comfortable working with vendors and internal teams, and can manage details accurately in a fast-paced office environment.
Job Responsibility
Monitor day-to-day progress across the expansion program and maintain accurate status updates for the project manager
Coordinate with vendors to confirm deliveries, address service issues, and help keep installations moving forward as planned
Work directly with store teams to resolve scheduling concerns, answer project-related questions, and track open items to completion
Review completion details for electrical work and verify required information has been documented before project closeout
Process incoming invoices by matching charges to purchase orders, identifying discrepancies, and routing items for resolution
Maintain spending logs and prepare organized reporting to support budget visibility and project decision-making
Manage shared inbox activity related to project administration and ensure time-sensitive requests are handled promptly
Build and update Excel spreadsheets that track shipments, milestones, financial details, and issue status throughout the project
Requirements
Experience supporting projects, operations, or office administration in a structured business environment
Proficiency with Microsoft Excel and the ability to create, maintain, and organize tracking spreadsheets
Familiarity with invoice processing, purchase order matching, or accounts payable support activities
Strong organizational skills with the ability to manage multiple priorities and follow up on outstanding items
Clear communication skills for working with project managers, vendors, and site-level stakeholders
Ability to identify inconsistencies in documentation and escalate issues in a timely manner
Comfortable working on-site in Phoenix, Arizona and supporting a fast-moving coordination function
