We are looking for a dedicated Project Coordinator to join our team in Collegeville, Pennsylvania. This role involves managing project documentation, ensuring compliance with client requirements, and maintaining effective communication with stakeholders. The ideal candidate will have experience in project coordination and a strong background in accounting-related tasks.
Job Responsibility:
Monitor the status of job files daily to ensure accurate and complete documentation
Collaborate with production teams to collect necessary on-site documentation for tasks
Develop and review estimates based on project scope and images provided by production crews
Keep the Work in Progress board updated with accurate information for active leads and projects
Ensure all client requirements are met and properly documented
Maintain consistent communication with internal teams and external stakeholders
Verify timestamps and other data points for accurate reporting and key performance metrics
Complete job file documentation for final uploads and audits
Conduct internal audits to confirm estimates include all completed work
Manage job close-out procedures, including coordinating with the accounting team for proper invoicing
Requirements:
Minimum of 2 years of experience in project coordination or related roles
Strong knowledge of accounts payable and accounts receivable processes
Proficiency in using QuickBooks for accounting tasks
Excellent data entry and invoice processing skills
Demonstrated ability to manage and oversee multiple projects effectively
Proven customer service skills with the ability to communicate professionally
Familiarity with project management principles and tools
Ability to work collaboratively across departments and assist when required
