The Project Coordinator reports directly to the Project Management Team Lead and plays a critical role in supporting scheduling, resource allocation, and project execution across all production departments. This role assists in developing monthly schedules, monitoring sales activity, supporting client onboarding and pre-production, building project plans, and tracking project progress. You’ll help identify risks or issues and escalate them appropriately to leadership. You’ll also contribute to process improvement initiatives within the Project Management Department. The ideal candidate is outgoing, detail-focused, highly organized, and committed to objective, data-driven problem solving.
Job Responsibility:
Provides scheduling support to the Project Management Department, team leadership, and production staff throughout project life cycles
Manage resourcing, scheduling, and issue triage and assignment of your project portfolio, including one-time work and recurring campaign management
Supports Senior Traffic Analyst with resource allocation and scheduling across the organization’s production teams
Quick and accurate deployment of projects and project templates within the project management system
Work with the Project Management Team Lead and Senior Traffic Analyst to ensure timely and accurate reporting to clients, internal staff, and management
Assist with and maintain the development of process and project documentation
Identify areas for improvement and contribute suggestions to improve existing production processes, tools, and systems
Occasionally develop presentations for client-facing and internal meetings
Maintain organization across all assigned active projects and be able to confirm the current status of a project, if requested
Requirements:
Bachelor’s degree in Marketing, Business Administration, or related field preferred
Experience working in a project management system (Zoho Projects a plus)
Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities effectively
Proficiency in Google Workspace, especially Google Sheets for data analysis and reporting
Ability to capture, document, and communicate customer requirements clearly to internal and external stakeholders
Self-sufficient, accountable, and comfortable taking ownership of responsibilities
Systems-oriented mindset with a strong interest in learning new tools, improving workflows, and becoming a subject matter expert in the platforms you use
Familiarity with AI tools, prompt creation, and AI assistants is a plus
Marketing agency experience is a plus
