Midnight Mansion’s mission is to bring more delight into the world. We design, engineer, fabricate, and install immersive, in-person experiences - building anything from special exhibits to interactive pieces that blend creative technology, mechanical systems, lighting and sound, and special effects. From early prototypes to final install, we manage the full build and bring ambitious ideas into the real world. The Role: This position blends project management, production coordination, and operational support. You’ll work closely with company leadership and department heads to oversee both internal projects and external client work.
Job Responsibility
Coordinating timelines, deadlines, and deliverables across multiple projects
Helping translate creative visions into action plans with tasks and milestones
Facilitating sprint planning, check-ins, and retrospectives when appropriate
Assisting with recruiting, onboarding, and general hiring coordination
Helping resolve team blockers and support cross-functional communication
Fostering a culture of follow-through and accountability (with kindness!)
Documenting decisions, task assignments, and meeting outcomes
Tracking progress across design, fabrication, software, and install
Flagging misalignments early and help course-correct before they snowball
Requirements
Ability to commute to our studio in Needham, MA and occasionally Somerville, MA
Strong communication skills (written and verbal)
2+ years in project coordination, technical production, or similar role
Experience with managing or coordinating interdisciplinary teams
Experience managing project budgets
Passion for immersive or location-based entertainment

Nice to have
Exposure to interactive technologies like Arduino, Raspberry Pi, lighting/audio systems, or show control
Experience in themed entertainment, museum installation, live events, or similar creative industries
Comfort with Google Drive, Jira, and/or other project management tools
Hands-on experience in any technical/creative field (e.g., prototyping, CAD, scripting, wiring, etc.)
You enjoy contributing to creative processes. While your primary role is coordination, you're not afraid to offer ideas and creativity from the team.
