Project Coordinator – Construction & IT Projects. Capstone IT is assisting our client in hiring a Project Coordinator to support construction and IT infrastructure projects. This role works closely with Project Managers and cross-functional teams to coordinate activities, maintain schedules, and ensure accurate documentation throughout the project lifecycle. The ideal candidate demonstrates strong organizational and analytical skills, familiarity with IT project management methodologies, and the ability to collaborate effectively across technical and business teams.
Job Responsibility:
Coordinate activities among vendors, clients, and internal teams, ensuring timely communication and task completion
Assist Project Managers with schedules, task tracking, and deliverables using tools like Microsoft Project, Jira, Smartsheet, or Asana
Prepare and distribute meeting notes, progress reports, dashboards, and Gantt charts
Maintain project documentation and version control, ensuring compliance with internal standards
Track milestones, dependencies, and risks, and assist with progress and action item reporting
Support training coordination, invoice processing, and project closeout activities
Partner with finance to track invoices, expenses, and unbilled items
Develop and update standard operating procedures (SOPs) to enhance efficiency and consistency
Identify and recommend process improvements or automation opportunities
Requirements:
Bachelor’s degree in business, Construction Management, Information Technology, or related field and 8 years of experience
Associate degree and 10 years of experience
High School Diploma/GED and 11 years of related experience
Strong organizational, communication, and problem-solving skills
Proven ability to manage multiple priorities and work with diverse stakeholders
Exceptional attention to detail and follow-through
Experience with IT project documentation, change control, and version management
Understanding of construction operations, project scheduling, and IT systems integration
Proficiency in Microsoft Office Suite and collaboration tools such as Teams, SharePoint, Jira, Confluence, or Smartsheet
Knowledge of project governance, KPIs, and risk management principles
