As a Project Coordinator, you will play a key role in supporting the smooth delivery of cross-functional projects across the internal Optimizely organisation. You will help organise project activities, maintain structure and documentation, and ensure teams stay aligned on priorities, timelines, and dependencies. You’ll work closely with project managers and stakeholders to keep projects moving forward, providing clear communication and coordination throughout the project lifecycle.
Job Responsibility:
Support the planning, coordination, and tracking of cross-functional projects to ensure they progress on time, within scope, and with clear visibility across teams
Assist in preparing and maintaining project documentation, status updates, RAID logs, and reporting requirements
Organise project meetings, workshops, and decision forums, ensuring agendas, notes, follow-ups, and actions are clear and completed
Monitor project progress, identify risks or blockers early, and escalate appropriately to the Project Manager or relevant leads
Coordinate with Operational teams, technology, data, and business teams to ensure dependencies, inputs, and deliverables are aligned and on track
Maintain strong communication flows across stakeholders, ensuring updates are clear, timely, and accurate
Support cross-functional engagement by keeping teams informed, aligned, and motivated to deliver against key project milestones
Contribute to improving project processes, tools, templates, and ways of working as the EPMO evolves
Requirements:
3+ years’ experience in project coordination, PMO support, or operational support roles
Experience supporting cross-functional teams and working in fast-paced, technology-driven environments
Good understanding of basic project management concepts, governance, and tools (plans, RAID, status reporting)
Strong organisational skills with excellent attention to detail and follow-through
Confident communicator able to build relationships across teams and levels
Comfortable working in ambiguity and bringing structure to evolving priorities
A proactive, problem-solving mindset with the ability to anticipate needs, ask smart questions, and keep work moving forward
Proficient in Microsoft Office Suite, and Project Professional
Education Bachelor’s degree preferred
