The Project Coordinator provides administrative support to Project Managers (PMs) in the Services organisation to deliver Forterro Services projects across different solutions. They also coordinate the transactional business and other small projects that do not require the engagement of a PM.
Job Responsibility:
Support the PM in administrative management such as time management, task management, status updates as well as supporting revenue recognition and invoicing
Support the PM in updating Forterro's project management systems such as Certinia – as appropriate for status, timeline, revenue, invoices, free work hours, EAC and % complete
Update project tracking tools with personnel and maintains current, complete, and accurate resource requests and supply forecast in alignment with, and under the direction of, the field-based PM organization
Manage smaller projects and staff augmentation projects on behalf of field Consultants, ensuring delivery on scope, on cost and on schedule and ultimately achieving customer satisfaction
Manage smaller projects and staff augmentation projects which don’t have PM funding
Handle enquiries for project scope information, incl. PO and paperwork, directly with Sales, Consultants, Finance and Operations
Accurately set up projects based on requests coming in via JIRA
Book Change Requests correctly on projects
Track funding availability on project and ensures system accuracy
Provide detailed project info to PM, Team Lead, Business Lead and/or Client as required
Work with Workforce Management to ensure that project staffing is correct in Certinia
Create and maintain accurate revenue forecast for the projects under their direct management
Ensure project resources hand in timely and accurate timesheets
Approve timesheets and ensure that time is adjusted as necessary
Collect consulting reports and completion certificates as required
Support project revenue recognition and invoicing
Proactively examine existing unused funding on projects under their management to help Team Leads and Business Leads identify potential revenue opportunities
Ensure that projects under their management are maintained accurately (adding tasks, extending end dates, maintaining Role Budgets, adding hours for change requests, etc.)
Work with Business Management and Finance to review supporting documents for projects under their management for accuracy as required (discounting, deal review compliance, etc.)
Cooperates with the PMs to close out projects in Certinia
Support the PM in preparation of project reports, financial reports, and other analysis
Administrative support to revenue forecasting activities
Requirements:
Bachelor’s degree in Business Administration, Operations Management, Information Technology, or a related field
Proven experience (2+ years) in a client interaction role and ability to perform with minimum supervision in multiple projects
Very good German and English skills (both verbal and written)
Experience with a Professional Services Automation system (e.g. Certinia / Financial Force) preferred
Project management and organizational skills, with the ability to manage multiple priorities and stakeholders
Good organizational management skills and well-developed interpersonal skills
Ability to manage multiple parallel engagements and dealing with ambiguity
Ability to work in a team environment, but also be self-directed, proactive, and action-oriented
