Our client, a highly respected real estate development firm in the Bay Area, is seeking an experienced Project Coordinator & Contracts Administrator to support complex commercial, residential, and mixed-use development projects. This is an exciting opportunity to join a collaborative and fast-paced organization with a long-standing reputation for delivering large-scale developments throughout Northern California. The ideal candidate will bring strong contract administration experience within the Architecture, Engineering, and Construction (AEC) industry, along with the ability to manage multiple projects, deadlines, and stakeholders with accuracy and professionalism. This role works closely with project teams, vendors, consultants, and legal counsel to ensure contracts, billing, compliance, and project documentation are executed efficiently and effectively.
Job Responsibility:
Manage the full lifecycle of contracts from intake through execution, billing, change orders, and project closeout
Draft, review, negotiate, and administer construction and consultant agreements while ensuring compliance with company policies and applicable regulations
Coordinate RFQs, RFPs, and bid processes, including onboarding consultants, contractors, and vendors
Review and process purchase orders, subcontract agreements, insurance documentation, lien waivers, and invoices
Maintain accurate contract tracking systems and organized project documentation, ensuring files remain audit-ready
Support monthly client billings, project costing, expense tracking, and subcontractor payment processing
Partner closely with project managers, accounting teams, subcontractors, and legal counsel to mitigate risk and keep projects on schedule
Identify contract risks, compliance concerns, and documentation discrepancies, escalating issues as needed
Assist with project closeout documentation and ensure all contractual obligations are completed
Requirements:
Bachelor’s degree preferred
equivalent experience will also be considered
Minimum 4+ years of Contracts Administration experience within the Architecture, Engineering, or Construction industry
Experience drafting RFQs/RFPs and administering construction and consultant contracts
Strong knowledge of AIA billing, project costing, procurement processes, and contract management
Proficiency with Microsoft Excel, Word, Adobe Acrobat, and Procure software
Ability to manage a high volume of contracts and competing deadlines in a fast-paced environment
Exceptional organizational skills, attention to detail, and follow-through
Strong communication, analytical, and problem-solving abilities
Self-starter with a hands-on approach, strong accountability, and the ability to work independently
Comfortable leveraging technology and AI tools to improve efficiency and accuracy
