We are looking for a dependable Project Assistant to support graduation event operations in California. This contract position is ideal for someone who enjoys working in fast-paced, customer-facing environments and can help keep event activities organized and running smoothly. The role involves assisting photographers and guiding graduates during ceremony photo operations while maintaining a detail-oriented and well-presented presence throughout the event.
Job Responsibility:
Support photographers during graduation events by directing graduates through photo lines and helping maintain an orderly flow near the stage
Guide students to the correct locations, provide clear instructions, and confirm names against event lists as participants are called forward
Assist with handing out and collecting name cards and other event materials used during ceremony photo operations
Help present business cards or related handouts to graduates and guests as needed during the event
Provide light appearance support, such as helping graduates adjust tassels or similar details before photographs are taken
Participate in event setup and breakdown by organizing supplies and assisting with equipment handling before and after the ceremony
Coordinate across multiple event times at the same site when scheduled, ensuring consistent support throughout the day or across consecutive days
Follow onsite direction from the designated event lead and maintain accurate, organized event support throughout the assignment
Requirements:
Strong customer service skills with a detail-oriented and approachable demeanor
Ability to stay organized, manage timing effectively, and work efficiently in a live event setting
Comfortable standing, walking, and assisting with active event operations for the duration of the assignment
Basic proficiency with Microsoft Office and general administrative support tasks
Ability to handle simple tracking activities, including checking names and managing printed lists or materials
Willingness to wear business attire, including black slacks, a neutral button-up or conservative blouse, and closed-toe dress shoes
Reliable communication skills and the ability to follow instructions from onsite leadership
No prior years of experience required
