We are looking for a detail-oriented Project Assistant to support construction project operations in Pearl City, Hawaii. This is a Contract position that will work closely with project leadership to keep documentation organized, communications moving, and administrative activities on schedule. The ideal candidate brings strong coordination skills, a proactive mindset, and the ability to manage multiple priorities in a fast-paced project environment. Due to the nature of the work and onsite requirements, preference will be given to Hawaii residents. Applicants should be able to reliably commute or reside within the region to meet business needs. Job Responsibility:
Prepare, organize, and maintain project records such as contracts, purchase orders, insurance documents, bonds, pay requests, warranties, closeout materials, and other essential files
Coordinate document control activities from project kickoff through completion
Distribute project communications to the appropriate team members
Track project documentation through detailed logs
Verify that required legal, insurance, and compliance documents are collected
Follow up with subcontractors, suppliers, and vendors to obtain outstanding paperwork
Maintain official filing systems
Provide administrative support to the project team by scheduling meetings, coordinating office supplies, assisting visitors, and handling day-to-day office tasks
Communicate professionally with contractors, field personnel, suppliers, and other stakeholders
Requirements:
High school diploma or equivalent required
At least 3 years of administrative or secretarial experience, ideally in a project-driven or construction-related environment
Experience with answering phones and providing excellent customer service
Strong written and verbal communication skills
Excellent organizational skills
Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint
Ability to work accurately, both independently and collaboratively, in a fast-paced setting
Valid driver’s license and ability to satisfy background screening and drug testing requirements as applicable
Familiarity with construction project documentation is preferred
Nice to have:
Preference will be given to Hawaii residents
Additional education in business or a related field is preferred
Familiarity with construction project documentation, scanning, scheduling, and general project coordination practices is preferred
