We are looking for a detail-oriented Project Assistant to support the coordination of a large-scale conference in Pacific Grove, California. This is an onsite, contract position requiring strong organizational skills and the ability to manage logistical tasks efficiently. The role involves assisting with registration processes and ensuring smooth operations during the event.
Job Responsibility:
Assist attendees with the registration process, including handing out badges, lanyards, and badge covers
Ensure that all attendees have received their pre-printed badges and provide guidance as necessary
Manage the distribution of online materials and direct attendees to download the program book ahead of the event
Maintain a welcoming and attentive demeanor when interacting with conference participants
Coordinate with team members to ensure the registration area remains organized and operates efficiently
Address any immediate concerns or questions from attendees during the event
Monitor supplies and ensure there are adequate badge covers and lanyards throughout the conference
Adhere to the casual dress code guidelines and maintain a neat appearance
Collaborate with onsite staff to support other logistical needs as required
Follow all established procedures to contribute to the seamless execution of the event
Requirements:
Previous experience in event coordination or similar roles is preferred but not required
Ability to work onsite in Pacific Grove, California, during the specified dates
Strong organizational skills and attention to detail to manage registration processes efficiently
Excellent communication skills to interact professionally with conference attendees
Ability to follow guidelines and adapt to dynamic event environments
Comfortable working in a casual dress code setting
Reliability and punctuality to ensure consistent support during the event
Ability to work collaboratively as part of a team to meet event objectives
