We are looking for a dependable Project Assistant to support graduation event operations in California. This is a Contract position within the services industry, ideal for someone who enjoys working in a fast-paced, customer-facing environment and helping large events run smoothly. The person in this role will work closely with on-site photography teams and event leads to guide graduates, manage flow, and provide hands-on coordination before, during, and after each ceremony.
Job Responsibility:
Support photographers and on-site event leads by helping direct graduates through photo and staging areas in an orderly manner
Guide students on where to line up, when to move forward, and where to stand so event traffic remains organized and efficient
Verify participant names against event lists and help maintain accurate check-in or call-up tracking during ceremonies
Assist graduates with minor presentation details, such as adjusting tassels, to help prepare them for photographs
Hand out and collect name cards and promotional materials as needed throughout the event
Help set up materials and equipment before ceremonies begin and assist with breakdown once activities are complete
Provide courteous, attentive assistance to graduates, staff, and guests in a high-visibility event setting
Follow event instructions for multi-ceremony coverage when scheduled at the same venue with the same on-site lead
Requirements:
Strong customer service skills and a courteous, detail-focused demeanor
ability to stay organized while managing lines, timing, and participant flow in a busy event environment
comfortable standing and moving throughout the event while handling light coordination tasks
basic proficiency with Microsoft Office and administrative tasks such as tracking names, scanning, or updating lists
good attention to detail and the ability to follow schedules, directions, and on-site procedures accurately
availability to work event-based assignments and remain flexible if multiple ceremonies are scheduled at the same location
must be able to maintain business attire, including black slacks, a neutral button-up or conservative blouse, and closed-toe dress shoes
