We are seeking a highly organized Project Assistant to support project managers and cross-functional teams with the coordination, documentation, and administrative aspects of project delivery. This contract opportunity is ideal for someone who thrives in a fast-paced environment, enjoys keeping projects organized, and can effectively manage multiple priorities and deadlines. The Project Assistant will play a key role in maintaining project documentation, tracking schedules, supporting financial and reporting activities, and ensuring projects remain on track from initiation through completion. The ideal candidate is proactive, detail-oriented, and enjoys working collaboratively with internal teams, clients, vendors, and consultants.
Job Responsibility
Provide administrative and operational support to project managers, including maintaining project schedules, milestone trackers, action item logs, and project databases
Coordinate meetings, prepare agendas, schedule attendees, document meeting notes, and follow up on outstanding tasks to support successful project execution
Organize, maintain, and distribute project documentation, contracts, reports, correspondence, proposals, and other project-related materials
Assist with project billing, invoice tracking, expense monitoring, consultant coordination, and other project administration activities to support financial accuracy
Communicate with clients, vendors, consultants, subcontractors, and internal stakeholders to facilitate timely project updates, deliverables, approvals, and issue resolution
Requirements
2–4 years of experience in project coordination, project administration, operations support, construction administration, or a similar role
Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
experience with project management, ERP, or accounting systems is a plus
Excellent organizational, multitasking, and time-management skills with the ability to manage multiple projects and deadlines simultaneously
Strong written and verbal communication skills with the ability to interact professionally with clients, vendors, consultants, and project teams
Detail-oriented, dependable, and proactive with a proven ability to work independently while supporting multiple stakeholders in a fast-paced environment
Nice to have
Experience supporting construction, engineering, architecture, professional services, or project-based environments
Familiarity with project schedules, contract administration, invoicing, accounts receivable, or consultant coordination
Bachelor's degree or equivalent combination of education and relevant work experience
Experience with Sage, Bluebeam, Smartsheet, Asana, Monday.com, or similar project tracking tools is a plus
