Job Description

We are looking for an experienced Project Assistant to join our team in Westbury, New York. In this Contract to permanent position, you will play a vital role in supporting project operations and ensuring smooth coordination between management and field staff. This is an excellent opportunity for someone with strong attention to detail who is eager to contribute to dynamic construction projects.

Job Responsibility

  • Provide administrative support to project managers and field staff to ensure effective communication and workflow
  • Manage and track Certificates of Insurance to ensure compliance and proper documentation
  • Assist with the preparation and organization of project start-up and close-out documentation
  • Maintain and update project logs to track progress and key milestones
  • Process time and material invoices and proposals with accuracy and attention to detail
  • Organize and manage both digital and physical project files for easy accessibility
  • Perform administrative tasks related to project management, ensuring deadlines are met
  • Support multiple projects simultaneously while maintaining a high level of organization
  • Collaborate with team members to address project needs and resolve challenges effectively
  • Provide general administrative assistance to ensure seamless operations

Requirements

  • Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and Access
  • Strong organizational skills with the ability to manage time effectively and prioritize tasks
  • Highly motivated and capable of working independently in a fast-paced environment
  • Exceptional attention to detail and follow-up abilities to ensure accuracy
  • Excellent communication skills, both written and verbal, to interact with team members and stakeholders
  • Ability to manage multiple projects simultaneously while maintaining high-quality results
  • High school diploma or equivalent educational background
