We are looking for a dependable Project Assistant to support graduation event operations in California. This is a Contract position within the services industry, ideal for someone who enjoys working in a fast-paced, customer-facing environment and helping events run smoothly. The person in this role will guide graduates through photo line procedures, assist event staff with coordination tasks, and contribute to a positive experience for students and guests. Candidates who are organized, attentive to detail, and comfortable handling on-site logistics will be well suited for this opportunity.
Job Responsibility:
Support photographers during graduation ceremonies by directing students through staging and photo lines in an orderly manner
Provide clear instructions to graduates on where to stand, when to move forward, and how to proceed during the event
Monitor attendance or name lists and mark graduates as they are called to the stage
Assist with distributing and gathering name cards, promotional materials, or other event-related items
Help maintain presentation standards by making minor adjustments, such as straightening tassels before photos are taken
Participate in basic event setup and breakdown activities, including organizing materials and light equipment
Coordinate with the on-site team lead to ensure schedules, flow, and location-specific instructions are followed
Communicate clearly with students, staff, and guests to support a positive event experience
Requirements:
Strong customer service mindset with a detail-oriented and approachable demeanor
Ability to stay organized while managing lines, timing, and multiple on-site tasks
Comfortable working in a live event setting with frequent standing and movement
Basic proficiency with Microsoft Office and administrative support tasks
Attention to detail when checking names, handling materials, and following event instructions
Willingness to wear business attire, including black slacks, a neutral button-up shirt or conservative blouse, and closed-toe dress shoes
Availability to work scheduled ceremony dates and follow direction from the designated on-site lead
