We are looking for a Project Assistant to provide day-to-day support for active construction projects in Sunnyvale, California. This Long-term Contract position is ideal for someone who is organized, proactive, and comfortable handling administrative and project coordination tasks in a fast-paced jobsite or project-based environment. The role will contribute to smooth project execution by supporting records management, purchasing activities, reporting, and field documentation while working with Procore and other web-based project tools.
Job Responsibility:
Maintain accurate project files and ensure drawings, records, and documentation are properly tracked in Procore and related project platforms
Assist with weekly and daily timekeeping activities by collecting, reviewing, and organizing labor information for project teams
Coordinate purchases for office materials, minor equipment, consumable items, and other routine project needs in alignment with established procedures
Prepare, print, assemble, and distribute work packages so field and project teams have the materials needed to perform assigned tasks
Use web-based project management systems to support purchasing, document updates, and timesheet processing across ongoing project activities
Monitor document revisions and help keep current versions of project information available to the appropriate stakeholders
Support reporting and general administrative coordination to help maintain project schedules, communication flow, and operational efficiency
Assist with request-for-quote activities and related procurement documentation when sourcing project items and services
Requirements:
1–5 years of experience in project support, project coordination, or administrative roles within construction, engineering, or another project-driven environment
Hands-on experience with Procore, preferably in a general contractor or construction setting
Working knowledge of document control practices, including version tracking and revision management
Familiarity with procurement workflows, including preparing or supporting RFQ-related activities
Ability to understand construction drawings and recognize differences between P&ID documentation and plan views
Strong organizational skills with the ability to manage timelines, handle multiple priorities, and maintain accurate records
Quick learner with a dependable work ethic and the flexibility to adapt to new processes and systems
