We are looking for a dependable Project Assistant to support graduation event operations in California. This is a Contract position within the Services industry, ideal for someone who enjoys customer-facing work in a fast-paced event setting. The person in this role will help keep student flow organized, support photographers during ceremony activities, and contribute to a positive experience for graduates and event teams. Strong communication, reliability, and the ability to stay organized throughout live events are important for success.
Job Responsibility:
Guide graduates through designated staging and photo areas to keep lines moving efficiently and ensure they are in the correct place at the right time
Assist event photographers by coordinating student flow, confirming names against provided lists, and helping maintain order during ceremony photo moments
Provide clear directions to participants regarding where to stand, when to move forward, and how to prepare for their turn on stage
Distribute and collect name cards and other event materials needed to support graduation photography and ceremony logistics
Help prepare graduates for photos by making minor adjustments, such as correcting tassel placement when needed
Support event setup and breakdown by organizing supplies, handling light equipment, and preparing the work area before and after each ceremony
Share promotional or informational materials, such as business cards, with graduates or attendees as directed onsite
Coordinate with the onsite team lead across single-day or multi-day events held at the same location to ensure consistent support throughout the assignment
Requirements:
Detail-oriented, customer-service-focused approach with the ability to interact courteously with students, staff, and event personnel
Comfortable working in a live event environment that requires standing, moving between lines, and staying attentive to changing activity levels
Strong organizational skills with the ability to follow lists, track participant flow, and manage timing during busy ceremonies
Ability to communicate directions clearly and maintain composure in a fast-paced setting
Basic proficiency with Microsoft Office and general administrative support tasks
Availability to work scheduled event dates and understand that event shifts are paid for a minimum of four hours
Willingness to wear business attire, including black slacks, a neutral button-up shirt or conservative blouse, and closed-toe dress shoes
Ability to retain parking receipts for reimbursement and follow onsite parking instructions when applicable
